Create your account

  1. Open LexTracksy and choose Start free. Create an account using your email and password, or continue with Google. Use Sign in if you already have an account.
  2. Your legal workspace opens straight away with the full Pro package free for 14 days. No card is needed and nothing is charged.
  3. For email registration, open the verification link sent to your inbox. Check spam too. When the verification banner appears, use Resend email or I’ve verified as needed.
  4. Open Settings and enter your Attorney-at-Law enrolment or BASL number. It appears on your invoices and fee notes; there is no approval wait. By registering you confirm you are an Attorney-at-Law entitled to practise in Sri Lanka.
Email verification and a paid subscription are separate. After the 14-day trial your account continues on Free with all your records; Pro tools return when Pro is activated.

Before entering real client information, try the public demonstration with fictional records.

Install on your phone

LexTracksy is a progressive web app (PWA). You add it from your browser and open it from your home screen.

  • iPhone: open the Legal page in Safari. Choose Share (under More in some layouts), then Add to Home Screen. Turn on Open as Web App if shown, then confirm Add.
  • Android: open the Legal page in Chrome. Use Install and create shortcut → Install. Older versions may show Install app or Add to home screen.

Follow the full iPhone and Android installation guide if your browser shows a different menu. Home-screen shortcuts open the Dashboard, Court Diary, Cases and Trust Account directly.

Installation does not activate Pro or remove the need for an internet connection for sign-in, approval, billing, sync and AI tools.

Every new account starts with the full Pro package free for 14 days, then continues on Free unless Pro is activated — there is no approval step. Neither plan includes a monthly AI token allocation; the Chambers plan for multi-user practices is not available in this release — contact support if you need it.

A Pro badge identifies paid access. Selecting a plan on the website records a preference only; Pro is activated by the MyTracksy team after invoice payment is confirmed.

Your first court week

Use fictional records for your first walkthrough. Read Storage, sync and privacy before entering client information.

  1. Open Settings. Enter your Bar Association number, specialization, practising certificate details, primary court and chambers address. Choose Save.
  2. Open Court Diary → Add hearing. Enter the date, time, court, case reference and hearing type, then save. Check Court Calendar to see the week.
  3. Open Cases & Clients → Add case and create “Demo Case A” with a fictional client. Open Client Registry to see the client record.
  4. Open Trust Accounting. Record a retainer receipt in trust for the demo case, then record a transfer of an earned fee to operating.
  5. Record one income entry and one expense in Income & Fee Notes and Expenses, then prepare a fee note from the documents templates.

Court diary and calendar

Enter and update hearings

  1. Choose Court Diary → Add hearing. Enter the date, time, court, court number, judge if known, case reference, hearing type and location (Hulftsdorp or outstation).
  2. After court, open the entry and record the outcome. For an adjournment, enter the next date; the diary creates the follow-up entry for you.
  3. Mark the appearance fee as paid when the client settles it, so unpaid appearances stay visible on the dashboard.
  4. Use Court Calendar for the week and month view. Export a single hearing or the whole diary as an .ics file, or open a hearing in Google Calendar.

Remind the client

From a hearing, choose the WhatsApp reminder. LexTracksy prepares the message with the case, court and date; you review it and send it yourself. Nothing is sent automatically.

The diary is your own record. Always confirm dates against the official court record and journal entries; LexTracksy does not run statutory limitation countdowns or guarantee conflict detection.

Cases and clients

  1. Choose Cases & Clients → Add case. Enter the client name, case title, number, type (civil, criminal, corporate, estate, IP, family, labour or other), court and status.
  2. Open a case to see its hearings, trust entries, costs and notes together. Update the status as the matter moves.
  3. Client Registry keeps each client’s contact details and matters. Hearing reminders are created for upcoming dates; mark them complete when done.

Case and client records are saved on your device first and synced to your account when online. Keep client identifiers to what you need for the matter; you remain responsible for confidentiality and consent.

Trust and operating ledger

The ledger separates client money from practice money so both balances stay visible.

  1. Choose Trust Accounting → New entry. Select the type: retainer receipt, appearance fee, court stamp, typist fee or another cost, and the account it belongs to (Trust or Operating).
  2. Link the entry to the case and enter the amount and date. Retainers received on account belong in Trust.
  3. When a fee is earned, record the transfer from Trust to Operating. The trust balance falls and the operating balance rises by the same amount.
  4. Reconcile the trust balance against your bank statement regularly. Export the ledger for your accountant from Auditor Export (Pro).
LexTracksy records the decisions you make. It does not hold client funds, operate a bank or escrow account, move money, or determine the correct trust-account treatment under the Supreme Court rules. Those obligations remain yours.

Income, fee notes, expenses and receipts

Income and fee notes

  1. Choose Income & Fee Notes. Record fees received with the category, date and case. Use the Fee Note template to prepare a text fee note from the line items you enter, including appearances, drafting, court costs and any retainer adjustment.
  2. Review the text, then copy it or download it as a .txt file. LexTracksy does not produce a formal PDF or send the fee note for you.

Expenses and receipts

  1. Choose Expenses to log court stamps, filing fees, typist fees, junior counsel fees, transport and chamber costs against a case. Costs paid for a client are tracked as unbilled reimbursables on the dashboard.
  2. Choose Receipts to photograph or upload a receipt for an expense. Uploaded files are stored with your account.

Voice and typed entries prepare a draft for your review before saving. Amounts from a payer certificate should be entered exactly as shown; no withholding tax credit is inferred.

Tax, reports and auditor export

Tax & IRD organises your income and legal-practice expenses into review categories such as BASL subscriptions, notary licence renewal, junior counsel salaries, chamber rent, court attire and legal subscriptions. Reports summarise the period; Auditor Export prepares an Excel workbook and a receipts pack for your accountant or tax adviser.

Categories are organisational aids, not an IRD determination. Confirm APIT, WHT and deductibility with your adviser before filing. Tax & IRD, Reports and Auditor Export require Pro after the 14-day trial.

Documents and AI drafting tools

Templates

Choose Documents for the fee note, legal letter or notice, power of attorney, bail application and non-disclosure agreement templates. Fill in the fields, review the prepared text and copy or download it. Every document remains your professional work product to check before use.

AI tools and the token wallet

  1. Open Token Wallet to buy tokens. Packs start at 50 tokens; online card top-ups use PayHere when available, otherwise request a manual top-up through support.
  2. Choose AI Tools, pick a tool (case research outline, pleading draft, client advice draft, contract review, summary or citation check), type your instructions and run it. Each run spends the number of tokens shown and is rate-limited.
  3. Treat every result as a draft. Verify facts, quotations, provisions and citations against primary sources; the tools do not retrieve authoritative judgments.
Do not paste privileged client details into AI prompts unless necessary for the draft; use non-identifying descriptions where possible. AI tools require an approved, active account and an internet connection.

Upgrade, renew or cancel

  1. Open Subscription. Your current plan, trial end date and Bar registration number are shown.
  2. To upgrade, choose the monthly or annual Pro plan and send the invoice request. The MyTracksy team confirms payment instructions by email or WhatsApp; Pro is activated manually after payment is confirmed. Online card checkout is not yet available.
  3. Renewals follow the same request flow before the period ends. To cancel, simply do not renew; your records stay in your account and the workspace continues on Free.

Storage, sync and privacy

  • Court diary, cases and trust entries are saved on your device first, so they work in court without signal, and sync to your signed-in account when you are online. Signing in on another device brings the synced entries across.
  • Income, expenses, receipts, documents and settings use your signed-in account. Access is limited to your profile by database and storage rules.
  • Signing out keeps synced records in your account. Clearing website data before a sync completes can remove unsynced entries; reconnect first and let the sync finish.
  • After the trial: your workspace never locks. Pro tools pause on Free until Pro is activated; every record stays in your account.

Troubleshooting and support

Reports or Auditor Export are locked after 14 days
Your Pro trial has ended and the account is on Free. Open Subscription to request Pro activation; the MyTracksy team activates it after invoice payment.
My hearing is not on the other device
Open the app on the device where you entered it while online and wait for the sync indicator, then reload the second device.
The trust balance does not match my bank
Check for a missing retainer receipt or transfer entry and correct the ledger; LexTracksy shows what you recorded, not the bank’s view.
AI tools say I have no tokens
Buy a token pack in Token Wallet. If online payment is unavailable, use the manual top-up request.
