Create your account
- Open MyTracksy Business and choose Start free. Create an account using your email and password, or continue with Google. Use Sign in if you already have an account.
- Your business workspace opens straight away with the full Pro package free for 14 days. No card is needed and nothing is charged.
- For email registration, open the verification link sent to your inbox. Check spam too. When the verification banner appears, use Resend email or I’ve verified as needed.
- Open Settings and enter your business registration number. It appears on your invoices; there is no approval wait. By registering you confirm you are entitled to use the workspace for your business.
Before entering real client information, try the public demonstration with fictional records.
Install on your phone
MyTracksy Business is a progressive web app (PWA). You add it from your browser and open it from your home screen.
- iPhone: open the Business page in Safari. Choose Share (under More in some layouts), then Add to Home Screen. Turn on Open as Web App if shown, then confirm Add.
- Android: open the Business page in Chrome. Use Install and create shortcut → Install. Older versions may show Install app or Add to home screen.
Follow the full iPhone and Android installation guide if your browser shows a different menu. Home-screen shortcuts open Business HQ, the sales desk, invoices and collections directly.
Installation does not activate Pro or remove the need for an internet connection for sign-in, billing, sync and the signed-in ledger.

Every new account starts with the full Pro package free for 14 days, then continues on Free unless Pro is activated — there is no approval step.
Your first shop week
Use fictional records for your first walkthrough. Read Storage, sync and privacy before entering client information.
- Open Settings. Enter your shop name and business registration number. Choose Save.
- Open Sales desk and record one sample sale. It posts to the signed-in ledger when you are online.
- Open Invoices → + Invoice. Enter Sample Client A, LKR 85,000 and a due date.
- Open Collections. Add a PDC that does not exceed the outstanding invoice.
- Open Stock watch and mark one SKU as low. Add a reminder for the reorder.
Find your way around on a phone
Use the bottom tabs. You may need to open More for invoices, collections and stock.

On a computer, these sections appear in the sidebar. This guide uses the English labels; your chosen language may translate them.
Sales desk
- Choose Sales desk. Record a counter, WhatsApp or card sale into the live ledger, with category and amount.
- Petty cash and refunds are expense posts on the same card.
Invoices
- Choose Invoices → + Invoice. Enter the client, amount in LKR, invoice date, due date and a short description.
- Saving also creates an open receivable so collections can track the same amount.
- Use Mark paid → ledger when the invoice is settled. If you are signed in, that posts income to the ledger; otherwise the invoice is marked paid locally only.
Invoice records are saved on your device first and synced when online. Keep identifiers to what you need for the job.
Collections and PDCs
- Choose Collections. Add a receivable as an invoice, PDC, promise or other, with client, due date and amount.
- Update status as the cheque is promised, received or settled.
- A collection should not exceed the outstanding invoice. Reconcile against your cash book.
Stock, clients, calendar and reminders
Stock watch
Choose Stock watch and add SKUs with a status of ok, low, out or ordered. This is a watchlist, not warehouse software: it does not deduct on sale or place purchase orders.
Clients, calendar, timeline and reminders
- Clients keeps each client’s contact details beside the invoices.
- Calendar holds shop dates you enter. Timeline lists recent activity. Reminders are tasks you create, such as a reorder or a cheque date.
These records are device first, then your account. Confirm sync before relying on them on a second phone.
Tax & money
Tax & money shows month income, expenses and AR from the records you entered, and lets you post tax-buffer or VAT-payment expenses to the signed-in ledger.
Reports and export
Reports summarises income, expenses and a CSV ledger export for your accountant.
Upgrade, renew or cancel
- Open Settings or the subscription screen from your account. Your current plan, trial end date and business registration number are shown.
- To upgrade, choose the monthly or annual Pro plan and send the invoice request. The MyTracksy team confirms payment instructions by email or WhatsApp; Pro is activated manually after payment is confirmed. Online card checkout is not yet available.
- Renewals follow the same request flow before the period ends. To cancel, simply do not renew; your records stay in your account and the workspace continues on Free.

Storage, sync and privacy
- Invoices, collections, stock, clients, calendar, timeline and reminders are saved on your device first, so they work in the shop without signal, and sync to your signed-in account when you are online. Signing in on another device brings the synced entries across.
- Income, expenses and settings use your signed-in account. Access is limited to your profile by database and storage rules.
- Signing out keeps synced records in your account. Clearing website data before a sync completes can remove unsynced entries; reconnect first and let the sync finish.
- After the trial: your workspace never locks. Pro tools pause on Free until Pro is activated; every record stays in your account.
Read the privacy policy for the full description of processing. You remain responsible for client confidentiality, device security and record retention.
Troubleshooting and support
- Tax & money or Reports are locked after 14 days
- Your Pro trial has ended and the account is on Free. Open Settings to request Pro activation; the MyTracksy team activates it after invoice payment.
- My invoice is not on the other device
- Open the app on the device where you entered it while online and wait for the sync indicator, then reload the second device.
- The collection does not match the invoice
- A collection cannot exceed the outstanding amount. Check for a missing invoice or a duplicate PDC and correct the record; MyTracksy shows what you entered.
- The sales desk did not update stock
- Stock watch is a separate list. Sales do not deduct SKUs automatically.
