02

Keep BOQ, baas and inspections with the job.

Compare estimated and actual rates, record baas advances and settlements against a project, and log what the inspector found.

03

Know what is held, and what you have billed.

Track retention until the defect-liability date, record income and site expenses, and prepare a CSV for your accountant.

Advance out.
Work confirmed. Retention held.

The baas ledger keeps advances and settlements visible against the job. Retention records the amount held until the date you enter, so claimable money is not forgotten.

  1. 1
    Record the baas advance

You pay LKR 150,000 on account to Sample Baas Perera against Kelani Intake Stage 2.

  2. 2
Confirm the settlement you have agreed

After measured work you record LKR 45,000 settled. Outstanding advances fall by the same amount.

  3. 3
Keep the retention claim date in view

10% of the certified value stays held until the defect-liability date you entered.

MyTracksy Engineering records what you enter. It does not certify CIDA or ICTAD work, auto-tally completed quantities, hold client funds or move money; those remain your professional responsibility.

Your records, clearly explained

Know where your records live.
Know who can see them.

Each record type has a clear home and account-scoped access rules.

Read the storage and privacy guide

Projects, BOQ, baas and retention: device first, then your account

Entries are saved on your device immediately and synced to your signed-in account when online, so they follow you between phone and laptop.

Income, expenses and receipts: signed-in ledger

Ledger records and uploaded receipts use your account. Access is limited to your signed-in profile by database and storage rules.

WHT and exports: figures you enter

Withholding-tax credits are the amounts you type from a certificate. Nothing is inferred. CSV exports are labelled for adviser review.

AI drafting: typed prompts, token-based, engineer review

Drafting tools run on the prompts you type and spend tokens from your wallet. Drafts are never a design or a certificate; you verify every figure.

You remain responsible for site safety, contract administration, device access and record retention. Read the privacy policy.

About the AI drafting tools

The site-note, BOQ-comment and claim-outline tools prepare editable drafts from the instructions you type. They spend tokens from your wallet, are not included in any plan, and do not design structures or certify work. Use non-identifying information where possible; an engineer’s review is always required before anything leaves your office.

Before you get started

A few useful answers.

Clear expectations about your trial, records and your plan.

What can I do with MyTracksy Engineering?

Keep projects, the site calendar, clients, BOQ items, site inspections, baas advances and settlements, retention records, income, expenses, receipts and tax categories in one workspace built for Sri Lankan engineers. Export CSV ledgers for your accountant, and use token-based AI drafting tools with your own review.

What happens after I create my account?

Your workspace opens straight away with the full Pro package free for one month — no card needed and no approval wait. Verify your email when requested and add your IESL membership number in Settings; it appears on your invoices. After one month your account continues on Free unless you activate Pro. MyTracksy Engineering cannot check an IESL number against a register, so by registering you confirm you are entitled to practise.

Does MyTracksy Engineering certify CIDA work or move retention money?

No. The baas ledger and retention vault record the advances, settlements and held amounts you enter, so outstanding advances and claim dates stay visible. It does not certify CIDA or ICTAD grades, auto-tally completed work, operate a bank account, or release funds.

Where are my project and site records stored?

Projects, BOQ items, inspections, baas entries and retention records are saved on your device first and synced to your signed-in account when you are online, so they follow you across phone and laptop. Income and expense records use the signed-in ledger. Uploaded receipts use your account storage. Records are protected by account-scoped access rules.

How do I activate Pro?

Choose a monthly or annual plan and create or sign in to your account. The MyTracksy team confirms the invoice and payment instructions, then activates Pro manually after payment confirmation. Selecting a plan does not charge you or unlock paid access.

Are the AI tools a substitute for engineering judgement?

No. The site-note, BOQ-comment and claim-outline tools prepare editable drafts from the instructions you type and use tokens from your wallet. They do not design structures, check calculations or certify work. An engineer must review every figure and statement before use.
