Create your account

  1. Open MyTracksy Medical and choose Start Free. Create an account using your email and password, or continue with Google. Use Sign in if you already have an account.
  2. If asked to choose a profession, select the medical profession. Your account’s approved profession determines the workspace you can open.
  3. For email registration, open the verification link sent to your inbox. Check spam too. When the verification banner appears, use Resend email or I’ve verified as needed.
  4. On Professional verification, enter your SLMC registration reference and choose Save reference. Choose Check approval status after the review. The workspace opens when your medical account is approved.
Email verification, professional approval and a paid subscription are separate. Saving an SLMC reference submits it for review; it does not approve your account or activate Pro.

While waiting, use the public demonstration with fictional information. If approval remains pending, contact support with your account email.

Install on your phone

MyTracksy Medical is a progressive web app (PWA). You add it from your browser and open it from your home screen.

  • iPhone: open the Medical page in Safari. Choose Share (under More in some layouts), then Add to Home Screen. Turn on Open as Web App if shown, then confirm Add.
  • Android: open the Medical page in Chrome. Use Install and create shortcut → Install. Older versions may show Install app or Add to home screen.

Follow the full iPhone and Android installation guide if your browser shows a different menu. Install the app before adding records so you can keep using the same app and device.

Installation does not activate Pro, transfer another device’s patient records or remove the need for an internet connection for sign-in, approval, billing and cloud updates.

There is no published monthly patient or transaction allowance in the current medical plans. Device storage and connection limits still apply. Neither plan includes a monthly AI token allocation.

A Pro badge identifies paid access. The separate screens labelled Preview remain demonstrations. Working weekly clinic schedules are in My Workplaces; the voice and typed assistant prepares drafts for your review.

Your first workday

Use fictional records for your first walkthrough. Read Storage and signing out before entering patient information.

  1. Open Settings. Enter your display name, SLMC number, specialty, qualifications, consultation fee and preferred language. Choose Save Practice Profile.
  2. Open My Workplaces → Add workplace. Add one location and check its fee and your share percentage. In Manage → Weekly sessions, review and save its regular days and hours.
  3. Open Patients → Quick register and create “Demo Patient A”, recording the consent choice for this fictional exercise.
  4. Add an appointment, open Today’s Schedule, mark arrival, start a consultation and complete it. Reopen the patient history to confirm the visit is there.
  5. Record one sample income and one expense in the demo, then collect the existing sample invoice. Review totals and try a reviewed reminder command. In the real app, save a future reminder in Sri Lanka time.

On a computer, these sections appear in the sidebar. This guide uses the English labels; your chosen language may translate them.

Patients and consultations

Register and find a patient

  1. Choose Patients → Quick register for basic details or Detailed for the fuller profile.
  2. Enter the name, the required details for your workflow and the recorded patient consent. If you enter an NIC, the form checks its format. Review optional clinical history and contact information before saving.
  3. Choose Register patient. Search by name, NIC, mobile number or the generated Patient ID to reopen the record.
  4. Use the patient’s timeline, consultation history and documents to review records already saved on this device. Small document uploads are supported; reduce oversized photos or files if the form rejects them.

Run a consultation

  1. Open Consultation, select the patient and workplace, or start from a scheduled appointment.
  2. Enter the presenting complaint and choose Start visit. Add your notes, findings, diagnosis and plan.
  3. If needed, enter your own reviewed prescription details and choose Save Rx, then Print / PDF. The separate Prescriptions menu requires Pro; the consultation workflow has its own prescription controls.
  4. Review the record and choose Complete consultation. Reopen it from patient history to check the result and review any follow-up.

Pro Tools also contains letter forms, a professional document vault and follow-up records. It is available on Free in this release. Clinical wording and any document you issue remain your responsibility; the tools record your decisions.

A WhatsApp share control prepares a message for your review. Check the recipient and contents before sending it yourself.

Workplaces and appointments

Set the clinic once

  1. In My Workplaces → Add workplace, enter the name, type, location, consultation fee and Your share %. Choose Save workplace.
  2. Choose Manage → Weekly sessions. Select weekdays, start/end times, start date, token queue or timed appointments, capacity and travel gap. These clinic sessions use Sri Lanka time.
  3. Choose Review schedule and check the upcoming dates. Choose Save schedule for private use, or Publish and save schedule for a connected clinic. Government duties stay private.
  4. Use a date exception to close, delay or change one session. Closing prevents new bookings; existing patients still need individual cancellation or rescheduling.

Reception books; the doctor works from Today

  1. Connect authorized clinic staff through the doctor invite and Clinic Desk → Accept invite. “Invite sent” is not acceptance.
  2. In Manage bookings, reception chooses the connected doctor/workplace, date and published session, enters the permitted booking details and chooses Save booking. A token is a queue position, not an exact consultation time.
  3. Open Today’s Schedule in the doctor app. Review incoming bookings and accept them if automatic acceptance is off. Reception marks arrival for connected clinic bookings. Start the visit, then complete the consultation after reviewing your notes and prescription.
  4. Check the appointment status after saving. When offline, saved clinical work stays on this device; clinic status updates wait for reconnection. Review any cancellation conflict instead of recreating the visit.
Shared booking details and appointment statuses use the connected clinic service. Personal clinical notes and prescriptions are not shared with reception. Booking needs an accepted connection, authorized clinic staff and an online service; the public demo is only a simulation.

For an appointment you manage yourself, use Appointments → Add Appointment, check the patient, workplace, date and time, then save. You can mark arrival yourself for these appointments in Today’s Schedule. Calendar brings recurring clinic sessions and appointments together.

Within My Earnings, availability and leave settings describe your own practice. Roles (roadmap) does not activate a multi-doctor team subscription.

Voice commands and reminders

Use a reviewed voice or typed draft

  1. Open the floating microphone assistant. Type a command or choose Start microphone. Browser speech recognition currently uses English. You can always type your command, including when speech recognition is unavailable or microphone access is denied.
  2. Try “City Clinic every Tuesday and Friday four to seven pm”, “Appointment for Demo Patient tomorrow at 5 pm at City Clinic”, or “Remind me tomorrow at 3 pm to call clinic”.
  3. Choose Review command. Check the action and any missing workplace, date, time or amount. Choose Review & continue to open its form, complete the details and save. For a note, review the draft in Quick Notes and choose Add to save it.

Browser dictation may process speech online. Avoid speaking patient details; type them instead. Unclear numbers never silently become expenses. Relative dates and times follow Sri Lanka time. Ambiguous dates and AM/PM need your review.

Save a reminder

  1. Open Schedule → Reminders on a phone, or Reminders in the desktop menu.
  2. Enter a title, future date and time in Sri Lanka time, then choose Save reminder. The reminder stays encrypted on this device and is included in the medical backup.
  3. Choose Enable browser reminders only if you want notifications on this device. Grant the browser permission when asked. Mark tasks done when complete.
The app checks due reminders, follow-ups, nearby clinic sessions and outstanding payments while open and when you return. Lock-screen messages contain no patient details. Delivery while the app is closed is not guaranteed; keep critical alarms in your phone’s alarm or calendar app too.

Income, expenses and receipts

Record income

  1. Open Income & Invoices → Record Income.
  2. Enter a non-identifying Payment reference, service type, hospital or clinic and date. Keep clinical details out of financial notes.
  3. Choose the payment status (Received, Pending or Overdue). Enter Amount Received (LKR) for Received, or Amount Due (LKR) for Pending or Overdue, then choose Record Income. Only received income enters received totals. Check the saved row and amount. For a real signed-in account, check again when connected before relying on cloud availability.

Collect an existing unpaid invoice

  1. In Payments to collect, locate the existing pending or overdue invoice and choose Record receipt.
  2. Check the full amount and Date received, then choose Confirm money received.
  3. Check that the original invoice is now received and enters received-income totals once. Do not create a second income entry for the same payment. A failed confirmation remains unpaid until a successful retry.

Record an expense

  1. Open Expenses → Add Expense.
  2. Enter a positive amount, category and date. The optional category search is not saved; cloud records use a general expense label without patient details. Choose Save Expense.
  3. Check All Expenses. Category notes organise records for auditor review; they do not decide whether a cost is deductible.

Keep a receipt

  1. Open Receipts → Scan Receipt, then take or select a picture.
  2. Enter and check the vendor, amount, date and category, then choose Save Receipt.
  3. Confirm the image appears in the gallery. Also record the expense in Expenses: saving a receipt does not create the financial entry automatically.

Retain original receipts. The gallery is stored on this device, and Pro can include its available images in the auditor pack. Voice income or expense actions open a review form. Check the amount, date and category, then save explicitly. A dictated action alone does not create a ledger entry.

Track channeling and earnings

  1. Open Channeling → Log Shift.
  2. Choose the hospital and date. Enter the number of patients and expected payment, then choose Log Shift.
  3. Review pending and overdue payments against the hospital statement. Choose Received only after confirming payment.
  4. For a received payout, mark the WHT/AIT certificate as collected when you have the document. Keep the actual certificate separately.
  5. Open My Earnings to review the breakdown and your fee/share settings.
Avoid counting a payout twice. My Earnings combines received channeling shifts with ledger income. If the same hospital payment is recorded in both places, its total can be duplicated. Reconcile these records before using them in a report.

The WHT/AIT checklist records collection status. It does not obtain a certificate from a hospital or file a tax return.

Prepare reports and an auditor pack

Pro Open Reports to review the income and expense summary. Confirm the dates and transactions behind a total; a page heading alone does not establish the reporting period.

  1. Open Auditor Export and choose the correct Year of Assessment.
  2. Review the export preview and choose Export ZIP.
  3. Open the downloaded ZIP. Check the Excel workbook’s General Ledger, P&L Summary and Receipt Index, plus any receipt images included.
  4. Reconcile the workbook against your supporting records before sharing it with your adviser.
The pack uses saved ledger income, expenses and receipts available on this device. It is not a full patient backup and does not automatically add channeling-only payouts or their certificates. Keep those supporting records separately.

Tax & IRD offers planning scenarios for adviser review. It does not submit an IRD return or determine the final treatment of income, expenses or tax credits. Report-option tiles and banking views should not be treated as live bank integrations.

Upgrade, renew or cancel

Online card checkout is not enabled in this release. Pro is activated manually after an invoice and payment confirmation.

  1. Sign in to your approved medical account and open Subscription.
  2. Choose Request Pro Invoice. This opens a prepared WhatsApp request for you to review and send. You can also email support.
  3. Specify your account email and whether you want monthly or annual Pro. Confirm the price, covered dates, included features and payment instructions on your invoice.
  4. After payment, wait for support’s activation confirmation. The stated target is within one working day. Reopen Subscription and check the plan and expiry before using paid features.

Invoice History shows invoice records available on your account. Download a document when the control is available; ask support for a copy if your manual invoice is absent.

Renewal and cancellation

Contact support before your paid period ends to renew or stop a renewal. Manual activation does not by itself authorise an automatic card charge. Ask support to confirm the effective date and remaining access. Deleting the home-screen icon or signing out does not cancel a subscription.

Refund requests

Email or WhatsApp support with your account email, payment date, amount and invoice/payment reference. The Refund & Cancellation Policy sets the eligibility periods: currently 7 days for a first monthly payment, 14 days for a first annual payment, and 7 days for an unintended renewal. The same periods apply to manual invoices. Support confirms eligibility and the return method.

Backup, restore and signing out

Medical records survive sign-out. Patients, consultations, prescriptions, follow-ups, documents and channeling records remain on this device after manual or idle sign-out. Sign back in with the same account. Clearing browser/app data or losing the device can still remove the working copy.

Free: encrypted file backup

  1. Open Backup & Restore from the menu (under More on a phone).
  2. Choose a backup password of at least 12 characters and enter it again to confirm. Keep the password safely, separately from the backup.
  3. Choose Download encrypted backup. Save the file from Downloads or the browser’s save sheet to a safe location.

Premium: encrypted online backup

  1. While signed in to your approved account, choose Check online backups to see saved dates.
  2. Select one of three slots. Enter and confirm your backup password, then choose Save encrypted online backup. Saving replaces that slot’s earlier snapshot after a successful upload.
  3. Wait for the saved confirmation and check the date. Only the encrypted archive is uploaded; the backup password is not sent. This is a manual snapshot, not continuous sync.

Restore on this or another device

  1. Sign in with the same account and open Backup & Restore.
  2. Enter the password used to create that backup. Choose a downloaded file and Check backup file, or select an online slot and Check online backup for restore.
  3. Review the creation date and record counts, then choose Confirm restore missing records. Existing records with matching IDs are preserved. Review restored patient documents and consultations before use.

A forgotten backup password cannot be reset. Your account sign-in password does not unlock an encrypted backup. Recovery of an already-saved online backup remains available when Premium expires. Keep a separate file backup too.

The archive covers patients and attached documents, consultations, prescriptions, appointments, quick notes, follow-ups, reminders, calendar, workplace schedules, practice settings and channeling. Temporary audio is excluded. Voice notes with an explicit expiry keep that expiry when restored; previously downloaded snapshots do not auto-delete.

  • Financial cloud ledger: income, expenses and government-income settings use the existing separate account service. The clinical archive does not restore that ledger.
  • Receipt images: their on-device gallery is separate. Retain originals and receipt exports; they are not in this archive.
  • Online features: sign-in, approval, subscription checks, clinic sharing and optional AI processing require their online services. Device storage does not mean those services run offline.

Keep the device locked and check that sign-out completed before sharing it. Individual printed prescriptions or auditor exports do not replace a restorable clinical backup.

Troubleshooting and support

I cannot open my workspace.
Reconnect, sign in with the correct email, and use Check approval status. Your medical profile must be approved. Buying Pro does not approve a pending professional account.
I paid, but a feature still shows a lock.
Check the account email, plan and expiry in Subscription. Reconnect and reopen the page. Send support the invoice reference if access is still incorrect; do not pay a second time to retry activation.
A patient is missing on another device.
Sign in with the same account and restore an encrypted file or online backup from Backup & Restore. Without a backup, use the original device/app/browser. Financial cloud records do not restore clinical records.
A photo or document will not save.
Use a smaller file and check free device storage. A failed save is not a stored record. Keep the original while resolving the error.
My totals do not match.
Check transaction dates, amounts, received status and duplicate channeling/ledger entries. Confirm which records each screen includes before comparing totals.
I forgot my password.
Use the password-reset option on Sign in. If you use Google, use the same Google account. Ask support if the reset email does not arrive after checking spam.
