Most Sri Lankan doctors who channel are not short of work. They are short of a single list that shows what each hospital paid, what the hospital kept, and what the practice spent getting there. Spreadsheets live on one laptop. WhatsApp forwards live on a phone. Paper slips live in a bag. When an accountant asks for the year, the hunt starts again.
This note is about record-keeping. It is not tax advice, not a filing guide, and not a clinical protocol. MyTracksy Doctor stores the channeling and expense records you enter. It does not file with IRD, calculate a tax bill as advice, or replace your accountant.
What usually goes missing
- Payouts from two, three or five hospitals, each on a different cycle.
- The hospital share versus the amount that actually reached you.
- Locum or covering sessions that never made it into the same notebook as the main clinics.
- Travel, rooms, and small practice costs that only show up when someone asks for receipts.
- AIT or WHT certificates that arrive weeks later and sit in email.
None of that is a character flaw. It is what a split working week looks like. The fix is a workspace that expects several workplaces, not a generic “add income” box.
A workable weekly habit
- Name each workplace once — hospital, channelling centre, or private room — with the fee and share you actually use.
- After a session, record the payout against that workplace. If the slip is late, record the session date and update the amount when the payout lands.
- Capture a photo of the slip or transfer confirmation on the same day, while you still know which clinic it belongs to.
- Record practice expenses in the same week: fuel, rooms, software, staff help, professional subscriptions.
- Once a month, export the ledger or, on Pro, the auditor pack, and send it to the person who reviews your return.
What the workspace does not do
- It does not pull payouts automatically from a hospital system.
- It does not file your income-tax return or pay IRD on your behalf.
- Tax & IRD figures on Pro are planning estimates for adviser review, not a determination of tax due.
- Clinical records stay on the device you use; signed-in financial records use your account services.
Hand-off that an accountant can use
Accountants do not need a novel. They need dates, amounts, workplaces, and evidence. A signed-in ledger CSV is on Free. Selected Pro plans add an Excel ledger, a profit-and-loss summary, a receipt index and the images you captured. You still decide what to send. Your adviser still classifies, applies the law, and files.
If you also collect AIT certificates, keep them in the same monthly rhythm. The companion note on AIT and WHT certificates covers the checklist, not the tax treatment.
